Welcome to Vietnam Women Travel. These Terms & Conditions govern your use of https://vietnamwomentravel.com and the booking of any tours or travel services provided by Vietnam Women Travel (“we,” “our,” or “us”).

By accessing our website or making a booking, you acknowledge that you have read, understood, and agree to these Terms & Conditions.

1. Booking Confirmation

A booking is confirmed only after:

  • We receive your completed booking request.
  • The required deposit or full payment has been received.
  • We send you a written confirmation by email.

Until confirmation is issued, availability is not guaranteed.

2. Prices

All prices are quoted in United States Dollars (USD) unless otherwise stated.

Prices include only the services listed in your itinerary.

Unless specified, prices do not include:

  • International flights
  • Travel insurance
  • Visa fees
  • Personal expenses
  • Optional activities
  • Alcoholic beverages
  • Tips and gratuities
  • Items not specifically listed as included

Prices may change before booking confirmation due to currency fluctuations, supplier price changes, or government taxes.

3. Payment

For most multi-day private tours:

  • A deposit is required to secure your reservation.
  • The remaining balance must be paid before arrival or by the due date stated on your invoice.

For day tours:

  • Full payment is generally required at the time of booking.

Accepted payment methods may include:

  • Credit/Debit Card
  • Bank Transfer
  • Wise
  • Other payment methods approved by Vietnam Women Travel

Any bank charges or transaction fees are the responsibility of the customer unless otherwise agreed.

4. Cancellation Policy

Day Tours

  • Cancel more than 48 hours before departure: 100% refund
  • Cancellation within 48 hours of departure: No refund
  • No-shows are non-refundable.

Multi-Day Private Tours

Unless otherwise stated in your booking confirmation:

  • More than 90 days before departure: Full refund less payment processing fees.
  • 89–60 days before departure: Deposit may be non-refundable.
  • 59–30 days before departure: 50% of total tour price.
  • Less than 30 days before departure: No refund.

Supplier cancellation fees for hotels, cruises, trains, flights, or permits may apply.

5. Changes by the Traveler

Requests to change travel dates, itinerary, or traveler information are subject to availability.

Additional costs may apply.

Some confirmed services cannot be changed once booked.

6. Changes by Vietnam Women Travel

Occasionally, circumstances beyond our control require itinerary changes.

These may include:

  • Weather
  • Road closures
  • Government regulations
  • Natural disasters
  • Transportation delays
  • Supplier operational changes

We reserve the right to modify itineraries while providing comparable alternatives whenever possible.

7. Force Majeure

Vietnam Women Travel shall not be liable for failure to perform services resulting from events beyond our reasonable control, including but not limited to:

  • Natural disasters
  • Floods
  • Typhoons
  • Earthquakes
  • Pandemics
  • Government restrictions
  • Civil unrest
  • War
  • Terrorism
  • Transportation strikes
  • Airline cancellations

Refunds in these situations will depend on the policies of third-party suppliers.

8. Travel Insurance

Comprehensive travel insurance is strongly recommended for all travelers.

Your policy should ideally cover:

  • Medical expenses
  • Emergency evacuation
  • Trip cancellation
  • Trip interruption
  • Personal belongings
  • Flight delays

Vietnam Women Travel is not responsible for losses that could have been covered by travel insurance.

9. Health & Fitness

Travelers are responsible for ensuring they are medically fit to participate in the booked tour.

Please inform us before booking if you have:

  • Medical conditions
  • Allergies
  • Dietary requirements
  • Mobility limitations
  • Pregnancy
  • Any special assistance needs

We will make reasonable efforts to accommodate your requirements whenever possible.

10. Passports, Visas & Entry Requirements

Travelers are responsible for ensuring they possess:

  • A valid passport
  • Required visas
  • Vaccination certificates (if applicable)
  • Any documents required for entry into Vietnam or other destinations

Vietnam Women Travel is not responsible for denied boarding or entry due to insufficient documentation.

11. Accommodation

Hotels are subject to availability.

If a selected hotel becomes unavailable, we reserve the right to substitute a hotel of similar standard and quality.

12. Transportation

Transportation may include:

  • Private cars
  • Vans
  • Limousines
  • Domestic flights
  • Boats
  • Trains
  • Motorbikes
  • Electric vehicles
  • Walking

Vehicle types may vary depending on availability and group size.

13. Tour Guides

Vietnam Women Travel specializes in Private Tours Led by Local Women.

Whenever possible, tours are led by experienced female guides.

In exceptional operational circumstances, we reserve the right to assign a qualified male guide or driver while maintaining the same level of service.

14. Traveler Responsibilities

Travelers agree to:

  • Follow safety instructions
  • Respect local customs and laws
  • Behave respectfully toward guides, drivers, and other travelers
  • Refrain from dangerous or disruptive behavior

We reserve the right to refuse service to anyone whose conduct endangers others or significantly disrupts the tour.

15. Limitation of Liability

Vietnam Women Travel acts as an intermediary between travelers and independent service providers, including hotels, airlines, cruises, transportation companies, and activity operators.

While we carefully select our partners, we are not liable for:

  • Delays
  • Flight cancellations
  • Lost luggage
  • Supplier negligence
  • Weather conditions
  • Government actions
  • Personal injury beyond our reasonable control
  • Loss of personal property

Our liability is limited to the amount paid directly to Vietnam Women Travel for the affected services, except where prohibited by applicable law.

16. Photography

During your tour, our guides may occasionally take photographs for promotional purposes.

If you prefer not to appear in photographs, please inform your guide at the beginning of the tour.

We will always respect your privacy.

17. Intellectual Property

All content on this website, including:

  • Text
  • Images
  • Logos
  • Videos
  • Graphics
  • Itineraries
  • Design

is the property of Vietnam Women Travel unless otherwise stated.

No content may be copied, reproduced, or distributed without prior written permission.

18. Website Use

You agree not to:

  • Use the website for unlawful purposes
  • Attempt unauthorized access
  • Introduce malicious software

19. Privacy

These Terms & Conditions are governed by the laws of the Socialist Republic of Vietnam.

Any disputes arising from these Terms shall be subject to the jurisdiction of the competent courts of Vietnam, unless otherwise required by applicable consumer protection laws.
